1. INTRODUCTION
The Kingston K-14 School District is seeking proposals from qualified contractors to design and construct a cost-effective softball field. The objective is to provide a safe, functional, and affordable playing area for student and community use.
2. PROJECT SCOPE
The selected contractor will be responsible for the following:
Site preparation (clearing and grading)
Installation of a dirt infield
Outfield preparation with grass or sod
Base installation (home plate, pitcher’s mound, and bases)
Backstop and fencing
Dugouts (basic structure or benches)
Spectator seating
Drainage planning and implementation
Obtaining required permits and ensuring compliance with all local regulations
3. PROPOSAL REQUIREMENTS
Mandatory pre-bid walkthroughs will be held on:
August 14, 2025, at 1:00 PM
August 15, 2025, at 10:00 AM
Each proposal must be sealed and include the following:
Company background and relevant experience
Detailed project plan, timeline, and milestones
Comprehensive cost estimate (labor, materials, and additional expenses)
List of required permits and compliance strategies
References from similar past projects
4. EVALUATION CRITERIA
Proposals will be evaluated based on:
Overall cost and value
Contractor experience and qualifications
Proposed timeline and schedule
Quality and suitability of materials and design
References and record of past performance
5. SUBMISSION INSTRUCTIONS
All sealed proposals must be submitted by mail or in person and received no later than 12:00 PM on August 28, 2025. Proposals should be addressed to:

Bid Opening:
Bids will be publicly opened at 2:00 PM on August 28, 2025, in the Kingston High School Library Conference Room.
6. TERMS AND CONDITIONS
The District reserves the right to accept or reject any or all proposals.
The selected contractor must comply with all applicable local, state, and federal regulations.
The project must be completed within the agreed timeframe and budget.
Payments will be made according to the agreed-upon payment schedule.
